Stop Silent Component Substitutions with a Written Approval Gate
An approved sample does not approve a later relay, connector, cell, protective device or enclosure-material change. The real product identity includes the approved construction and the evidence tied to it.

Define what requires prior approval
Identify the components, materials and process changes that can affect safety, performance, certification, compatibility, serviceability or warranty. Put a no-unapproved-substitutions clause in the PO or quality agreement and maintain a revision-controlled critical BOM.
Require a six-field change request
The supplier should identify the original part and function; the proposed replacement and reason; parameter, material and construction differences; certification or listing impact; validation sample and test plan; and named engineering, quality and commercial approval owners.
Connect certification to production
UL Solutions' Follow-Up Services provide one certification-specific example: ongoing inspections compare production with the evaluated construction, including component descriptions, markings and traceability. Changes to UL-certified construction may require review before the UL Mark is used. Other schemes have their own rules.
Close the traceability loop
When a change is approved, record the effective order, lot, date and serial-number range. Update drawings, BOMs, work instructions, inspection criteria and service spares. At production and pre-shipment inspection, verify the actual markings and lot codes against the approved record.
