How to Verify an ISO 9001 Certificate Before Shortlisting a Supplier
An ISO 9001 certificate can be genuine and still be irrelevant to the factory, activity or product in a quotation. The useful question is not only whether the document exists, but whether its boundary matches the sourcing decision.

Start with the issuing route
ISO develops ISO 9001 but does not certify organizations or issue certificates. An external certification body issues the certificate, and accreditation can add another layer of confidence in that body's competence. Record the certification body, accreditation route and certificate number before relying on the claim.
Match the legal entity and site
Compare the exact organization name and manufacturing address with the quotation, contract, business registration and factory evidence. A certificate for a sales office, related company or different plant may be authentic without covering the site that will perform the purchase order.
Read the scope as a boundary
Check the products, services and processes named in the scope. ISO 9001 is a quality-management-system standard, not product certification. It does not by itself validate production capacity, technical compliance, an individual shipment or the effectiveness of a specific corrective action.
Check edition and live status
Record the standard edition, issue date, expiry or recertification information and current database status where available. At this research cutoff, ISO's official page showed ISO 9001:2026 as under publication. Do not declare a certificate invalid from an edition difference alone; ask the issuer about the applicable transition and current status.
Use a seven-field verification card
Retain the legal entity, site, scope, standard and edition, certificate number, certification body and accreditation route, and live validity status. Then decide whether product evidence, a second-party audit or shipment inspection is also needed for the actual risk.
